Facility Maintenance and Inventory & Fleet Coordinator

Position Overview: 

The Facility Maintenance and Inventory & Fleet Coordinator is responsible for overseeing the maintenance of building systems, managing inventory of construction materials, and coordinating the fleet of vehicles and equipment used by the construction team. This role ensures that all necessary materials are available for projects, the fleet is maintained efficiently, and safety protocols are upheld. 

Key Responsibilities: 

Facility Maintenance: 

  • Perform routine and preventive maintenance on building systems (HVAC, plumbing, electrical). 

  • Conduct daily inspections of the facility to identify maintenance needs or safety hazards. 

  • Respond promptly to service requests and resolve facility-related issues. 

  • Maintain tools, equipment, and mechanical systems, including forklifts, generators, and metal machines, in safe working order. 

  • Coordinate with outside vendors for specialized repairs or services. 

  • Ensure facility compliance with safety, health, and environmental regulations. 

  • Maintain cleanliness of maintenance workspaces and storage areas. 

  • Document all maintenance activities, repairs, and inspections. 

  • Manage landscaping and parking lot maintenance. 

Inventory Management: 

  • Oversee and manage the inventory of construction materials, tools, and supplies. 

  • Monitor and manage stock levels of maintenance supplies and construction materials. 

  • Conduct regular inventory audits and maintain accurate records of inventory levels and usage. 

  • Coordinate with suppliers to order materials and supplies as needed, ensuring timely delivery. 

  • Reorder supplies to maintain minimum stock levels without overstocking. 

  • Organize and label storage areas for easy access. 

Fleet Maintenance: 

  • Oversee maintenance schedules and service records for company vehicles and equipment. 

  • Perform basic mechanical inspections and minor repairs (e.g., oil changes, tire checks). 

  • Coordinate with auto service providers for inspections and major repairs. 

  • Ensure all vehicles and equipment are clean, safe, and roadworthy. 

  • Maintain accurate records of fleet maintenance, mileage, and fuel usage. 

  • Tracking vehicle keys to ensure accountability and organization. 

Logistics Support: 

  • Collaborate with project managers to determine material and equipment needs for upcoming projects. 

  • Develop logistics plans to optimize fleet resource usage. 

  • Coordinate transportation of equipment and supplies to job sites. 

Documentation and Reporting: 

  • Maintain accurate records of inventory transactions, fleet maintenance, and equipment usage. 

  • Prepare reports on inventory levels, usage trends, and fleet performance for management. 

  • Monitor and report on inventory costs and assist in budget forecasting. 

Safety and Compliance: 

  • Ensure all inventory and fleet operations comply with safety standards and regulations. 

  • Follow all safety procedures when handling materials and operating machinery. 

  • Conduct regular inspections of equipment and materials to uphold safety protocols. 

Collaboration and Communication: 

  • Serve as the primary contact for inventory and fleet-related inquiries from project teams. 

  • Collaborate with procurement and supply chain teams to improve inventory management processes. 

  • Perform duties outside the scope of this job description to support the overall success of the organization. 

Working Conditions: 

  • Position may require occasional overtime or weekend work based on project demands. 

  • Role involves both office work and fieldwork. 

Physical Requirements: 

  • Must lift and carry items weighing up to 50 pounds. 

  • May require standing, bending, or stooping for extended periods. 

Additional Information: 

  • Valid driver’s license and a clean driving record are required. 

  • Familiarity with construction equipment and materials is an advantage.
